We are seeking a polished, proactive, and highly organized Executive Assistant to support members of the C-Suite at an iconic, Chicago-based global consumer goods company.

The Executive Assistant will serve as a trusted partner to senior leadership, managing complex schedules, coordinating international travel, and helping executives operate effectively in a fast-paced, highly collaborative environment.
Key Responsibilities:

Provide high-level administrative support to members of the C-Suite, serving as a trusted and highly confidential partner.

Manage complex and frequently changing executive calendars, including internal and external meetings across multiple time zones.

Coordinate extensive domestic and international travel, including flights, hotels, ground transportation, visas, itineraries, and other travel requirements.

Proactively manage international travel logistics and troubleshoot last-minute changes, cancellations, and scheduling conflicts.

Coordinate meetings involving global stakeholders and ensure executives are fully prepared with necessary materials, agendas, and background information.

Manage and prioritize incoming requests, helping executives stay focused on the highest-priority initiatives.

Prepare presentations, correspondence, reports, meeting materials, and other executive-level communications.

Coordinate leadership meetings, off-sites, conferences, and company events as needed.

Prepare and process expense reports and reconcile travel-related expenses.

Partner closely with other Executive Assistants and teams across the organization to coordinate schedules, meetings, and company initiatives.

Handle sensitive and confidential business information with a high level of discretion and professionalism.

Anticipate executive needs and proactively identify opportunities to improve organization, communication, and efficiency.

Support special projects and cross-functional initiatives as needed.
Qualifications:
-
7+ years of experience supporting senior executives, ideally at the C-Suite or executive leadership level.

Demonstrated experience coordinating complex international travel is required.

Experience supporting executives within a global, consumer goods, manufacturing, retail, or similarly fast-paced organization is preferred.

Proven ability to manage complex calendars and coordinate meetings across multiple time zones.

Exceptional organizational skills with the ability to manage competing priorities and frequent changes.

Strong written and verbal communication skills with the ability to interact professionally with senior executives, employees, customers, and external partners.

Strong proficiency with Microsoft Office, including Outlook, PowerPoint, Word, and Excel.
Role Details:

Pay: $50-53/hr while on contract

Salary upon conversion: $100-115k with eligibility to earn a 10% annual bonus
