The Operations Manager will work closely with executive leadership to ensure seamless daily operations, manage vendor relationships, support accounting and HR administration, and oversee a wide range of operational projects. This role is focused on execution, organization, and continuity, making it an excellent opportunity for an experienced Office Manager or Operations Manager looking to take ownership of a business's operational functions.
What You'll Do
- Oversee the day-to-day operations of the office, ensuring efficient workflows and seamless business operations.
- Manage relationships with vendors, contractors, and service providers, including contract coordination and issue resolution.
- Process invoices, assist with accounts payable activities, and support accounting functions using QuickBooks.
- Coordinate office administration, facilities management, and procurement of office supplies and equipment.
- Support payroll administration, employee onboarding and offboarding, HR coordination, and employee-related requests while partnering with the company's outsourced HR provider.
- Serve as the primary operational resource for employees and leadership, proactively resolving day-to-day business needs.
- Track operational projects, key deadlines, and action items to ensure timely completion and follow-through.
- Develop and maintain organized processes, documentation, and operational procedures.
- Provide administrative and operational support to executive leadership on special projects and business initiatives.
- Identify opportunities to improve operational efficiency while ensuring critical business functions continue to run smoothly.
What We're Looking For
- 5+ years of experience in operations management, office management, business administration, or a similar role.
- Proven ability to manage multiple priorities while maintaining exceptional organization and attention to detail.
- Experience managing vendors, facilities, and day-to-day business operations.
- Working knowledge of accounting functions, including invoice processing and QuickBooks.
- Experience supporting payroll administration and HR coordination.
- Strong project management skills with the ability to independently drive initiatives to completion.
- Excellent written and verbal communication skills with confidence interacting directly with executive leadership.
- Highly professional, resourceful, and proactive with a hands-on approach to problem solving.
- Commercial real estate, real estate investment, or professional services experience is preferred but not required.
