We are seeking a polished, proactive, and highly organized Executive Assistant to the CEO for a global industry leader headquartered in downtown Chicago.

This is an exciting opportunity to support a highly visible CEO within a fast-paced, global organization. The Executive Assistant will serve as a trusted business partner, managing a complex calendar, coordinating extensive global travel, supporting board activities, and ensuring the CEO can operate efficiently in a constantly evolving environment.

Key Responsibilities:

  • Provide high-level administrative support to the CEO, serving as a trusted and highly confidential partner

  • Manage a complex and ever-changing executive calendar, including internal and external meetings across multiple time zones

  • Coordinate extensive domestic and international travel, including flights, hotels, ground transportation, visas, itineraries, and private jet arrangements

  • Proactively manage travel logistics and troubleshoot last-minute changes, cancellations, and scheduling conflicts

  • Partner closely with the CEO's spouse on scheduling, travel planning, and personal logistics when needed

  • Coordinate meetings involving executive leadership, board members, private equity partners, investors, and external stakeholders

  • Prepare meeting materials, presentations, agendas, and executive communications

  • Support quarterly board meetings, board dinners, and annual company-wide leadership events

  • Manage expense reports, receipt reconciliation, and travel-related documentation

  • Collaborate closely with other Executive Assistants and provide backup support as needed

  • Anticipate executive needs and proactively address challenges before they arise

  • Support special projects and strategic initiatives as assigned

  • Handle highly sensitive business information with discretion, sound judgment, and professionalism


Qualifications:

  • 5+ years of Executive Assistant experience supporting CEOs, or C-suite executives

  • Demonstrated experience managing complex executive calendars and extensive travel arrangements

  • Experience interacting with Boards of Directors, investors, sponsors, or executive stakeholders preferred

  • Proven ability to thrive in a fast-paced environment with frequent changes and competing priorities

  • Exceptional organizational, problem-solving, and multitasking skills

  • Strong written and verbal communication skills with a polished executive presence

  • High level of confidentiality, professionalism, and discretion

  • Advanced Microsoft Office skills including Outlook, PowerPoint, Word, and Excel

  • Comfortable utilizing and learning new technologies, including AI tools such as Microsoft Copilot

  • Natural relationship builder with a proactive, responsive, and solutions-oriented mindset


Role Details:

  • Location: Downtown Chicago

  • Working Model: Onsite

  • Salary: $120,000 – $140,000 annually 

  • Bonus: Eligible to earn a 5% annual bonus

  • Benefits: Comprehensive benefits package available upon hire: Medical, dental, and vision insurance

  • After-Hours Availability: Approximately 15% as needed to support executive travel and urgent scheduling matters
