Must be local to Chicagoland area due to on-site requirements
Responsibilities:
- Process multi-state payroll for 1,000 employees on a bi-weekly basis, including salaries, hourly wages, commissions, bonuses, and expense reimbursements.
- Review and verify timekeeping records for accuracy and completeness.
- Calculate and process statutory deductions (federal, state, and local taxes) and voluntary deductions (benefits, 401k, garnishments, etc.).
- Administer and process new hires, terminations, leaves of absence, and other employee changes affecting payroll.
- Reconcile payroll data to the general ledger and resolve any discrepancies.
- Prepare and submit all required payroll tax filings (941s, W-2s, state unemployment, etc.) accurately and on time.
- Respond to employee inquiries regarding payroll, deductions, and tax withholdings in a professional and timely manner.
- Maintain accurate and confidential payroll records and ensure compliance with company policies and relevant federal, state, and local regulations (e.g., FLSA, IRS, Department of Labor).
- Collaborate with Human Resources and Finance departments to ensure seamless information flow and resolve payroll-related issues.
- Assist with year-end payroll processing and reporting.
- Stay up-to-date with changes in payroll laws and regulations.
- Participate in payroll system upgrades, testing, and implementation as needed.
- Generate payroll reports for management as required.
- 5+ years of experience in payroll processing
- Proven experience with payroll software systems (e.g., ADP, Paychex, Workday)
- Strong understanding of federal, state, and local payroll tax laws and regulations.
- Proficient in Microsoft Office Suite, especially Excel (pivot tables, VLOOKUPs).
- Exceptional attention to detail and accuracy.
- Strong analytical and problem-solving skills.
- Excellent communication (written and verbal) and interpersonal skills.
- Ability to handle sensitive and confidential information with discretion.
- Ability to work independently and as part of a team in a fast-paced environment.
