Temporary Administrative Assistant Responsibilities:
- Take charge of arranging complex international travel for the Vice President, ensuring that all logistics are flawlessly organized. From booking flights and accommodations to arranging transportation and creating detailed itineraries, you will ensure the VP’s travel is efficient and seamless.
- You will expertly manage the Vice President’s calendar, scheduling meetings, events, and deadlines with precision. You’ll proactively manage competing priorities and ensure that the VP’s time is spent efficiently, helping them stay organized and focused on high-priority tasks.
- Prepare and assemble key materials for important meetings, including PowerPoint presentations, reports, and briefing documents. You’ll work closely with the VP to ensure all materials are well-organized, clear, and impactful.
- Act as the primary point of contact between the Vice President and various departments, as well as external stakeholders. You will facilitate communication and ensure that messages are clearly conveyed, fostering collaboration between senior leadership and staff.
- Draft, proofread, and send professional correspondence to both internal and external contacts. Whether you're handling sensitive information or organizing follow-up communications, your attention to detail and tone will be critical in maintaining the organization’s professional image.
- Conduct research on various business initiatives and prepare materials for the VP to review and present to the board of directors. Your ability to gather, synthesize, and present information will be crucial in helping the VP make informed decisions.
- Take on additional tasks as needed, including organizing office supplies, assisting with special projects, or handling any other administrative duties that arise in this dynamic office environment. You will be a key contributor to keeping the day-to-day operations running smoothly.
Temporary Administrative Assistant Requirements:
- 2+ years of professional administrative experience, ideally in a corporate setting or with senior-level executives. You should be comfortable working in a high-stakes, fast-paced environment where multitasking and prioritization are essential
- A bachelor’s degree is preferred, though equivalent experience will be considered. Your academic background should provide you with a strong foundation for the analytical and organizational aspects of this role
- You must be highly skilled in Microsoft Word, Excel, and PowerPoint, with the ability to create polished presentations, manage documents, and perform data analysis. Your technical know-how will help streamline administrative processes and ensure all tasks are completed with precision
- You should have excellent verbal and written communication skills, with the ability to interact with individuals at all levels of the organization—from staff to C-suite executives. Your ability to present information clearly and professionally will be key in this role
- This role requires a keen eye for detail. Whether you're managing the calendar, preparing reports, or scheduling travel, accuracy and thoroughness are vital to success
- You must be able to manage competing priorities effectively, staying organized and focused amidst constant change. The ability to juggle multiple tasks without sacrificing quality or attention to detail is essential
