This Administrative Assistant, Executive Office position is perfect for someone who can manage competing priorities, support high-level stakeholders, and keep operations running smoothly behind the scenes.
Responsibilities:
- Provide direct administrative support to Executive Office leadership
- Draft, edit, and prepare correspondence and internal documents
- Coordinate meetings, including scheduling, agendas, materials, and logistics
- Manage executive and committee calendars
- Support contract workflows, including DocuSign tracking and documentation
- Coordinate communication with internal teams and external legal counsel
- Maintain administrative systems, records, and workflow processes
- Assist with volunteer onboarding, offboarding, and related documentation
- Track follow-ups and ensure timely completion of operational tasks
- Support special projects and additional administrative needs as assigned
Requirements:
- 3–5 years of experience in an administrative assistant or executive support role
- Strong organizational and time-management skills with high attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Excellent written and verbal communication skills
- Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and DocuSign
- Basic project management skills preferred
- Ability to work a consistent part-time schedule Monday through Thursday, 8:00 a.m. to 1:00 p.m.
- Flexibility to support occasional in-office needs in Chicago
Key Details:
- Compensation: $27–$32/hour, depending on experience
