Executive Assistant to CEO Key Responsibilities:
- Manage a complex and ever-changing calendar, ensuring alignment with organizational priorities
- Coordinate and prioritize high-volume email communications, including drafting and responding on behalf of the CEO
- Serve as a gatekeeper and strategic partner, managing competing demands on the CEO’s time
- Prepare the CEO for meetings, events, and speaking engagements (briefings, materials, logistics)
- Coordinate travel arrangements and daily logistics, including transportation and scheduling transitions
- Support cross-functional collaboration with internal leadership, including C-Suite stakeholders
- Assist with meeting coordination, including agendas, materials, and follow-ups
- Provide support for board-related activities as needed
- Ensure seamless day-to-day operations for the CEO in a fast-moving environment
Executive Assistant to CEO Qualifications:
- 5+ years of experience supporting senior executives
- Experience in a fast-paced environment
- Experience supporting a public-facing executive
- Exposure to nonprofit organizations, board interactions, or external stakeholders
- Experience managing complex scheduling across multiple stakeholders
- Strong ability to prioritize, multitask, and adapt to changing needs
- Excellent written and verbal communication skills
- Proven ability to exercise discretion and handle confidential information
- Highly proactive with strong problem-solving skills and attention to detail
- Comfortable acting as a gatekeeper and managing up effectively
- Proficiency in Microsoft Office and/or Google Workspace
Work Environment: Hybrid, based in downtown Chicago, 4 days on-site, 1 day remote + floating remote days
Pay: $45-52/hr
