The Administrative Assistant will support up to four paralegals and play a key role in keeping legal files, communications, and deadlines on track.
Location: Oak Brook, IL
Schedule: Monday–Friday, 37.5 hours/week
(8:00 AM–5:00 PM, 7:00 AM–4:00 PM, or 9:00 AM–5:00 PM)
Work Model: Onsite initially; remote work available after training
Key Responsibilities
- Provide administrative and legal support to multiple paralegals in a high-volume environment
- Manage and maintain legal files, including reviewing and processing documents with redlines
- Handle heavy email correspondence and ongoing back-and-forth communication related to legal matters
- Track deadlines and ensure timely follow-up on claims, benefits, and health-related issues
- Assist with contract-related documentation and other administrative legal tasks
- Maintain strict attention to detail while juggling competing priorities
- Ensure compliance with HIPAA requirements when handling sensitive information
- Communicate effectively with internal teams to ensure deadlines and expectations are met
Qualifications & Experience
- 2–3 years of administrative experience, ideally in a legal, healthcare, law firm, or similarly high-volume environment
- Experience supporting multiple professionals simultaneously (e.g., paralegals, attorneys, or managers)
- Familiarity with personal injury or legal administration is strongly preferred
- HIPAA experience is a plus, especially in environments involving claims, benefits, or health information
- Proven ability to stay organized under pressure and manage a heavy workload without shutting down
- Strong written and verbal communication skills
- Demonstrated ability to meet deadlines consistently and manage competing priorities

- $60,000-$65,000
