Service Administrative Assistant Responsibilities
- Contact multiple service vendors to get status updates on open service call
- Professionally communicate service status with customer
- Schedule service calls and installations with third-party vendors but also direct service force
- Submit invoices for service work in customer portal
- Process invoices in Salesforce/SAP according to warranty, goodwill, invoice guideline
- Create quotations for service work in real-time and submit to customers for review
- Review, verify and update assets and parts warranty status and determine business scenario and accounting type based on guidelines
- Update direct service force’s inventory based on parts usage
- Escalate customer concerns to Regional Technical team and work to resolve open issues
- Accurately update company CRM with real-time updates
- Ideally, has an Associate’s/Bachelor’s degree from college or university in Business or related field; or equivalent combination of education and 1-3 years of relevant experience
- Experience with SAP is greatly preferred.
- Experience with data management, contracts and Salesforce is a plus
- Ability to read, analyzes, and interprets general business periodicals, professional journals, technical procedures, or governmental regulations
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
- Ability to calculate figures and amounts such as discounts or travel rate calculation
- Ability to define problems collects data, establish facts, and draw valid conclusions
- Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables
- Must be detail-oriented
- Working knowledge of office automation tools such as E-mail, WWW, Windows, Microsoft Office Suite
- Must be proficient with Microsoft Excel and be able to perform basic functions like VLOOKUP
