Our client is seeking an Operations Support Administrator to provide administrative support to the Operations department. The successful candidate will assist with the set-up and maintenance of Client accounts, transactions and activity, and administrative tasks such as Reporting, Spreadsheet work, Client communication, Client gifting and Client Relationship Management (CRM) using task-based software. This position will provide direct administrative support to both the Operations Manager as well as principals, partners and relationship managers.
Operations Support Administrator Responsibilities:
- Manage daily workflow by creating tasks in CRM for all pending work items for Clients. Assign due dates, enter notes and update diligently with progress. This includes new accounts, transfers, account updates and money movement for clients
- Check Alerts daily on the Charles Schwab Custodian platform for any information requests
- Maintain Client records, Scan Client paperwork and manage Client folders on the server
- Distribute mail
- Ensure that office supplies are ordered and maintained
- Generate Client Birthday Cards
- Assist with sending client gifts for referrals and holidays
- Produce annual review books for client meetings using reporting software
- Generate client paperwork for account openings and account maintenance
- Facilitate signatures from clients and submit forms to custodians while tracking completion within the CRM system
- Assist with the mailing of quarterly and year-end reporting
- Project work as needed
- Additional responsibilities will be given as skill set improves
Operations Support Administrator Requirements:
- Experience with a CRM system (such as Salesforce, or similar) is preferred
- Solid understanding of databases, spreadsheets and other Microsoft Office products is required
- Previous experience in an operational support role
- Strong computer and word processing skills, including Microsoft Word and Excel
- Excellent oral and written communication skills as well as excellent interpersonal skills
- Ability to respond in a timely manner, provide follow up, organize tasks, manage time and prioritize projects with strong attention to detail
- Ability to work effectively and efficiently with staff and clients and adjust to changing priorities
- Ability to work independently as well as function in a team framework
- Ability to maintain confidentiality
