Job Description

Our client is seeking a highly organized and detail-oriented Bid Administrator to join our team and take charge of construction bidding activities. The ideal candidate will apply their expertise in the construction industry and exceptional organizational skills to contribute to the successful execution of projects.

Bid Administrator Responsibilities:

  • Collaborate with project managers, estimators and subcontractors to prepare and distribute bid packages
  • Review and analyze bid documents, specifications and drawings to identify project requirements and ensure compliance
  • Coordinate and track all bid-related documentation, including addenda, inquiries and clarifications
  • Prepare and submit pre-qualification and bid packages within designated deadlines
  • Maintain accurate and up-to-date records of all bid-related activities and communications
  • Research, identify and pre-qualify potential vendors and subcontractors for bidding purposes
  • Coordinate bid invitations and communicate bidding requirements to subcontractors and suppliers
  • Respond promptly to inquiries and provide necessary information to subcontractors during the bidding process
  • Evaluate subcontractor bids, proposals and qualifications to assist in the selection process
  • Maintain a comprehensive database of subcontractor information, bids and performance evaluations
  • Act as a liaison between the project team, subcontractors and suppliers during the bidding phase
  • Schedule and facilitate pre-bid meetings, site visits and bid opening sessions
  • Prepare and distribute bid-related correspondence, notifications and updates
  • Coordinate with various internal departments to ensure the accuracy and completeness of bid packages
  • Foster effective relationships with subcontractors and suppliers to enhance bidding opportunities
  • Create, organize and maintain project files, ensuring proper documentation of bids, contracts and related correspondence
  • Review and analyze bid results, providing accurate and detailed reports to the project management team
  • Assist in the preparation and submission of post-bid documents, including bid tabulations, evaluations and recommendations
  • Support the project team in maintaining compliance with regulatory requirements and company policies

Bid Administrator Requirements:
  • Bachelor's degree in construction management, engineering, business administration or a related field (or equivalent experience)
  • Proven experience in construction bidding, estimating or project coordination within the construction industry
  • Ability to prioritize tasks, meet deadlines and manage multiple projects simultaneously
  • Strong problem-solving and analytical abilities
