Job Description
Our client is a leading provider of industrial refrigeration services seeking a detail-oriented and motivated Accounts Payable Clerk to join their team. As an Accounts Payable Clerk, you will be responsible for managing the company's accounts payable process, ensuring accurate and timely processing of invoices and maintaining effective communication with vendors and internal stakeholders. This role plays a critical part in maintaining the financial health of the organization.

Accounts Payable Clerk Responsibilities:
  • Receive, review and process vendor invoices for accuracy, completeness, and adherence to company policies. Match invoices with purchase orders and contracts to ensure consistency
  • Verify the authenticity of invoices and ensure proper approvals are obtained before authorizing payments
  • Schedule payments in accordance with payment terms and due dates
  • Maintain regular communication/working relationships with vendors and suppliers to address billing discrepancies, negotiate payment terms and resolve invoice or payment issues
  • Accurately record and maintain organized documentation of accounts payable transactions, including invoices, receipts and payment records. Assist with the management of digital and physical records
  • Reconcile expenses against company budgets to ensure compliance and help identify potential cost-saving opportunities. Regularly reconcile accounts payable balances with the general ledger to maintain financial accuracy
  • Monitor vendor performance, evaluate the quality of goods or services received and collaborate with the procurement team to optimize vendor relationships
  • Negotiate favorable terms and discounts with vendors
  • Ensure compliance with company policies, industry regulations and tax laws
  • Prepare reports and documentation for internal and external audits as necessary
  • Issue payments using various methods, such as checks, electronic funds transfers (EFTs) or credit card payments

Accounts Payable Clerk Requirements:
  • High school diploma or equivalent; an associate degree or relevant certification in accounting or finance is a plus
  • Proven experience as an Accounts Payable Clerk or in a similar role
  • Proficiency in accounting software, Microsoft Office and data entry
  • 2 and 3-way match experience
  • Strong attention to detail and accuracy in data processing
  • Effective communication and negotiation skills
  • Knowledge of accounts payable procedures, policies and relevant regulations
  • Ability to work independently and as part of a team
  • Strong time management and organizational skills
